Testing Policy and Procedures
Student Accommodations and Support Services offers proctoring services to students with testing accommodations. Faculty may provide proctoring with accommodations based on their availability and resources.
Test Proctoring Center Info:
The Test Proctoring Center is located on the Cheney Campus in Hargreaves Hall.
Proctoring hours are 10:00am-4:30pm (exams scheduled to end by 4:30pm) all business days when EWU is open.
Students should check in for exams at Hargreaves 015 10-15 minutes prior to the start of their scheduled proctor appointment.
Eligibility Requirements
If a student would like to establish test-based accommodations, they will need to complete the standard application process at https://inside.ewu.edu/dss/requesting-accommodations/
What are testing accommodations?
Some examples can include:
- Extended time duration for the exam (example: of 1.5x or time-and-a-half)
- Reduced distraction testing environment (example: fewer people or a private room)
- Screen reading or other assistive technology to read and/or answer the exam (example: using JAWS or a magnifier)
Accommodations are developed through a one-on-one conversation between the student and SASS staff, and are dependent on individual symptoms or therapies.
How to Schedule for a Proctored Exam
Students who have test-based accommodations can schedule an exam by following these steps:
- Log into the accommodations Student Portal. Students are responsible for scheduling exams at least 3 business days prior to the exam date.
- Select “Alternative Testing” under the Accommodations tab on the left-hand side of the portal.
- Under the “Schedule an Exam” box, select the course from the drop-down list and select “Schedule an Exam” button.
- Fill out all of the exam information. For the “Standard Length of Exam”, this would be how much time is offered for students in the general course. Accommodations for exam length will be automatically applied after submitting the request. If unsure of length of exam, the course length is recommended.
- Scheduling request is then sent to faculty for review and SASS for booking.
On Exam Days
On the day of the exam, students should check in at the SASS office in Hargreaves 015 10-15 minutes before the scheduled exam time. Students will need to show their ID, and then store any belongings not authorized by their faculty in a locker in the SASS office.
SASS will arrange exam details with the faculty directly, and have the exam prepared when the student arrives.
In the event the student cannot take the exam at the scheduled time, the student will need to reach out to the faculty member to discuss approval for taking the exam at a different date/time.
Student Responsibilities
- Students must complete the accommodation application and have an intake appointment to develop their specific accommodation plan.
- Students are responsible for contacting instructors at the beginning of the quarter to identify themself and discuss implementation of their accommodation plan. Instructors may proctor exams if they have are able to implement the accommodations. Any student with testing accommodations is eligible to have proctored exams through SASS.
- Students must schedule testing times with SASS at least 3 business days prior to the exam date. Testing is scheduled on a first come, first serve basis. Exams may be scheduled as soon as dates are known.
- Students should double check with their professor(s) to ensure the SASS Exam Proctor Agreement is completed.
- Students should confirm with their professor the exam date and time. Proctoring hours are Monday-Friday from 10:00am-4:30pm (exams must be completed by 4:30pm). **Finals schedule has adjusted times**
- Students are require to show their student ID when checking-in for a testing appointment.
- Students must report to the SASS Office in Hargreaves 015 on time for scheduled tests. As in the classroom situation, alternative testing arrangements are scheduled to end at a specific time and test times will not be extended when students report late. The SASS reserves the right to return examinations to the professor if a student is more than 15 minutes late and has not notified the SASS of the delay.
- Students must leave all personal items outside the testing room. Only items authorized by the professor will be allowed on the testing site. Lockers with locks are provided for students testing in SASS.
- Students will need to consult with instructor if there is a need to reschedule.
Faculty Responsibilities
- Meet with the student to determine alternative testing options. Faculty and/or academic departments are expected to provide testing accommodations that do not require assistive/adaptive technology or private space. SASS only offers proctoring services to students with registered testing accommodations, who are eligible for and require assistive/adaptive technology or private space accommodations.
- If the student is testing with SASS, the faculty will need to complete the SASS Exam Proctor Agreement which can be located on the faculty portal on MyDSS. Faculty must indicate the date and time the exam is to be administered, as well as any materials the student is allowed or not allowed to have during their exam.
- If the student is testing with SASS, faculty must upload the exam to MyDSS at least 24 hours in advance. Faculty can also email exams at sass@ewu.edu or deliver a hard copy to SASS at least 24 hours in advance.
SASS Responsibilities
- The SASS office will facilitate the accommodations needed to meet each student’s need.
- The SASS office is responsible for protecting the integrity of the examination process.
- Follow the professors requests, exactly as instructed.
- Make sure students don’t have any extra items in the testing room.
- Record start and end time of the exam.
- Provide a quiet and respectful place to take the exam, with minimal distractions.
- Upload completed exam to Faculty MyDSS unless other arrangements have been made.
- The SASS office and other testing centers will keep a file with all test-taking forms.
