Academic Cycle

The process of scheduling section offerings for departments through a series of phases and modes. Each phase lets schedulers and approvers know what changes are allowed in during this timeline.

Phases

Planning Phase Expand

Starts in Design Mode

Sections will be rolled after the Archive Phase from term-to-term to help capture Catalog changes and actual enrollments.

There are few restrictions on what can be changed as students are not enrolled in sections. Cancellations of sections are not permitted, but they can be deleted from the schedule.

NOTE: Catalog changes may be pending, so CLSS will not reflect in-process changes to courses.

Approval Phase Expand

Moves to Refine Mode

After changes to sections are finalized, schedulers will submit the scheduling unit by Validating.

The Department Chair and College Associate Dean will be notified through workflow to approve submitted scheduling unit.

Publish Phase Expand

Begins 1st Day of Prior Term

The schedule will now be viewable on EagleNET and students will start adding sections into Schedule Planner.

Deleting of sections is not permitted, but they can be cancelled from the schedule.

Changes during this phase certain changes will require additional approvals (e.g. Academic Affairs, Eastern Online).

Freeze Phase Expand

Begins Two Weeks Prior to Priority Registration

Instances (terms) in this phase will be locked to prevent users from making changes. Schedulers will be able to make changes in other instances that are not in the Room Assignment or Archive Phase.

Academic Scheduler(s) will use this phase to audit sections and schedule rooms in an effort to prepare the schedule for publishing on EagleNET.

Eastern Online and Student Financial Services will work with Academic Scheduling to review course fees, tuition fees, and section restrictions are accurate on all sections.

Registration Phase Expand

Begins First Day of Priority Registration

Students are able to register for sections during this phase, which means certain changes will be restricted so as not to negatively impact enrolled students.

If a change cannot be submitted through CLSS and is considered an exception, this change will need to be approved outside of the system. Approval is need from the Department Chair, College Associate Dean, and Academic Affairs before this change can be processed.

Room changes or swaps should be requested through outside of CLSS. This can be done by sending an email to regschedule@ewu.edu.

Post-Reporting Phase Expand

Begins the 11th Day of Term

Majority of sections in this phase will be locked to prevent users from making changes. Changes can no longer be made at this point, since mandatory reporting for the state has already been submitted.

Certain sections are allowed to make changes in the phase due to the nature of these courses.

  • College in the High School
  • Continuing Educations
  • AP Second Half
Archive Phase Expand

Begins Last Day of Instruction

Schedule is now locked to all changes and is a Historical instance.

Framer Tool will now show actual enrollment data, as well as, allow copying of sections to open instances.

Modes

Design Mode Expand

CLSS is the system of truth and doesn’t communicate with Banner/EagleNET

Schedulers will build the entire scheduling unit and submit for Department Chair and College Dean approval.

Approvers will consider entire scheduling unit as a whole and approve/reject the entire schedule.

Refine Mode Expand

CLSS reflects the desired schedule and communicates with Banner/EagleNET

Schedulers will submit changes section-by-section.

Approvers will review sections individually to approve or reject.

Validating

Validation runs tests on a set of rules to verify that offerings are using resources to maximum efficiency. Completion of this process will move CLSS changes into Banner/EagleNET and is required prior to any room assignments.

Select Validate when all changes have been made during the Proofing Phase

A new window will open with all triggered rules. The ideal Validation should not trigger any warnings or errors. This process can be run multiple times to ensure sections are as accurate as possible before submitting.

Select Start Workflow to start approvals and move changes to Banner/EagleNET
