COVID-19 Rental Process

EPIC Adventures is currently offering outdoor equipment rental services to EWU students, and non-students. We ask that you review the other tabs, including the updated pick up and return procedures, prior to making a reservation. Personal Safety Protocols

EPIC’s employees will: 

  • Complete the EWU Employee Return to Work Training and comply with self-screening requirements.
  • Adhere to EWU’s COVID return to work protocols and policies, including social distancing in the workplace, use of masks and PPE, and proper sanitization. 
  • Wear cloth masks / facial coverings as required by Washington’s Safe Start plan, Spokane County, and EWU.
  • Utilize phone reservation system to pre-pay and limit interactions, and restrict payments to credit cards only to eliminate the handling of cash.
  • Maintain a digital log of all customers, including at a minimum: first name, last name, physical address, email address, and telephone information. This information will be retained in Fusion, and protected against unauthorized access.
  • Advise users to bring their own pens to sign waivers or use hand sanitizer when using digital devices to sign waivers. EPIC Adventures will also provide hand sanitizer during the equipment pick up and return process. 
  • Create adequate space for physical distancing during when outfitting customers. Use visual markers for reference.
  • Maintain social distance when issuing equipment and during return process. 
  • Sanitize equipment and store in isolation for a safe time period before returning them to active inventory. 
  • Maintain cleaning protocols that allow for proper disinfection of helmets, gear, protective clothing, and lifejackets after use using CDC and EPA approved products. 
  • Regularly sanitize countertops, handrails, door knobs, and other common surfaces. Have hand sanitizer available for staff and clients.
Reservation & Pickup

EPIC Adventures’s Rental Pick Up Process

  1. Customers should review the instructions for the entire rental process prior to placing a reservation. If customers have any questions about the rental process, they can contact EPIC staff at (509) 359-4014, or by email at epicadvent@ewu.edu
  2. Customers will place their reservations by contacting the EPIC Adventures customers service desk by phone during normal business hours. Customers will not be permitted to come into the URC to place their reservation. 
    1. A Customer Service Representative (CSR) will work with the customer to create a reservation order, and will email the reservation to the customer. 
    2. The customer will be asked to provide credit card payment by phone, which will confirm the reservation. No cash transactions will be accepted.
    3. It is recommended that customers place their reservation at least 30 minutes in advance of their pick up in order to give staff time to prepare their order. Reservations can also be made days in advance of the scheduled pick up date.
  3. EPIC Adventures Equipment Technicians (ET) will stage the rental, and place it in the staging area for the customer to pick up. The ET will wear cloth masks / facial coverings throughout customer interactions.
    1. Prior to the customer’s arrival, the ET will set a clip board next to the rental, with the customer’s rental agreement ready to be signed by the customer.
    2. An informational sign will be placed at the rental pick up area that strongly encourages customers to wear a cloth mask or face covering, and use the provided hand sanitizer prior to reviewing equipment and signing reservation documents.
    3. The ET will stand 6 ft away from the customer, and instruct the customer to review the agreement, and review the items staged to be picked up during the rental, and then sign the agreement.
    4. Any discrepancies with the staged equipment will be communicated with between the customer and the ET while maintaining social distancing. The ET will ask the customer to stand aside while the employee resolves the discrepancy.
    5. The customer will sign the rental agreement, and retrieve their rented equipment. The ET will retrieve the clipboard and rental agreement, and follow standard record keeping protocols.
Equipment Return

EPIC Adventures’s Rental Return Process

  1. The ET will continue to wear cloth masks / facial coverings throughout customer interactions.
  2. The customer will bring the equipment to EPIC’s equipment return station, marked with signage. 
  3. While maintaining social distancing, the ET will instruct the customer to set all equipment in the return area for review and then stand aside. 
  4. The ET will review the returned equipment for missing and/or damaged equipment while the customer stands aside.
  5. The ET will notify the customer if the returned rental is complete, or if there is an outstanding balance owed due to damaged or missing equipment. 
    1. The customer will be promptly informed if there is a balance owed, and will be instructed to provide credit card payment with the CSR by phone. 
  6. The ET will retrieve the equipment once the customer has left the return area.
  7. The ET will clean and/or disinfect items and store them in isolation for a safe time period before returning them to active inventory.
Available Items

Equipment Rental Availability Per Phase

EPIC Adventures has prepared a list of equipment that can be rented out under each phase of Governor Inslee’s plan to recovery. The list considers the following concerns: (1) physical proximity/interaction between staff and customers, (2) physical proximity/interaction between staff and other staff, (3) the ability for EPIC staff to EFFECTIVELY kill/remove the corona virus using the existing resources, and (4) the available PPE that staff should be using during interactions with customers, staff, and potentially contaminated equipment. Please refer to our equipment list below for the safe start phase that the gear will be available in.

Rental and Return Policy Expand
  • There are no refunds for equipment rentals. Equipment reservations are not final until the full balance of the equipment being rented has been paid (Exception for raft rentals, which require a 50% non-refundable deposit at time of reservation).
  • You are encouraged reserve equipment in advance to ensure that it is in stock for the dates you would like to use the equipment. Equipment is reserved/rented on a first-come-first-serve basis. Once your reservation has been confirmed, you may not extend your reservation without paying for the additional days. You may return your equipment early, however you will not receive a refund or credit for unused rental dates.
  • Equipment returned late is subject to additional rental fees for each day that the item is not returned, up to 7 days. After 7 days, you are responsible for the replacement value of the item.
  • Please allow adequate time when coming in to book a rental reservation. We recommend allowing at least 30 minutes to best serve you. It takes time to properly size and prepare your rental.
  • Rental returns must be brought back no later than 30 minutes prior to close. This is to allow adequate time for the staff to process the return of equipment.
  • Late, damaged, or lost equipment is subject to an additional fee. Students with outstanding fees not paid after 7 days will receive a hold on their student account. Non-students with outstanding fees not paid after 7 days will be sent to collections.
  • No Refunds. No Refunds. No Refunds.
